Welcome to MedixStaff. These Terms & Conditions (“Terms”) govern your access to and use of the MedixStaff website, services, content, and virtual staffing solutions (“Services”). By accessing or using our website or Services, you agree to be bound by these Terms. If you do not agree, please discontinue use.

1. Company Information

MedixStaff (“we,” “us,” “our”) provides HIPAA-certified virtual staffing solutions for medical and healthcare providers. Our Services include administrative, billing, scheduling, verification, clinical support (non-medical), and practice-operations support.

2. Use of Services

You agree to use our Services only for lawful purposes and in accordance with these Terms. You further agree that:

• You will not misuse the website or attempt to access systems or data without authorization.

• You will not reverse-engineer, copy, or redistribute proprietary material.

• You will not use the Services in a manner that violates HIPAA, state privacy laws, or any applicable regulations.

3. No Medical Services Provided

 

MedixStaff does not provide medical, clinical, diagnostic, or therapeutic services. Our Virtual Assistants (“VAs”) provide non-clinical administrative support only.

Nothing on our website or Services constitutes medical advice.

4. Client Responsibilities

​

Clients using our Services agree to:

• Provide accurate and updated business information.

• Maintain compliance with HIPAA and all healthcare privacy requirements.

• Ensure virtual staff are granted appropriate system permissions.

• Ensure no VA is asked to perform tasks that require medical licensing.

5. Payments, Billing & Subscriptions

​

Payment terms, subscription fees, and billing cycles are communicated during onboarding or in your service agreement. By signing up for Services, you agree to:

• Pay all fees when due

• Maintain an active payment method

• Comply with minimum contract terms if applicable

Failure to pay may result in suspension or termination of Services.

6. Cancellation & Termination

 

You may cancel Services by providing written notice according to your service agreement. We reserve the right to suspend or terminate access for:

• Violations of these Terms

• Non-payment

• Abuse, harassment, or unsafe working conditions for our VAs

• Misuse of systems or data

7. Intellectual Property

All website content, graphics, branding, text, and materials are owned by MedixStaff and protected by copyright, trademark, and intellectual property laws.

You may not copy, modify, distribute, or reproduce our content without written consent.
 

8. Confidentiality & HIPAA Compliance

MedixStaff maintains strict confidentiality and implements administrative, physical, and technical safeguards in compliance with HIPAA.

Clients are responsible for ensuring their own systems and processes maintain compliance when interacting with our VAs.

9. Limitation of Liability

 

To the maximum extent permitted by law, MedixStaff is not liable for:

• Loss of data

• Business interruption

• Indirect, incidental, or consequential damages

• Errors resulting from information provided by the client

 

Our total liability shall not exceed the amount paid for Services within the last 3 months.

10. Third-Party Tools & Integrations

 

We may integrate with platforms such as EMR/EHR systems, phone systems, CRMs, and billing platforms.
We are not responsible for issues, downtimes, or data breaches caused by third-party systems.

11. Modifications

 

We may modify these Terms at any time. Updated Terms will be posted on this page with a revised date. Continued use indicates acceptance of the changes.
